01 · Everyone

Sign In to the Singapore Project

Use the email address invited to the project. New users complete the account setup in the OpenSpace invitation; existing users sign in with their account. For projects hosted at sgp.openspace.ai, choose the Singapore region in the mobile app.

  1. Open the invitation and finish the account setup, or sign in if you already have an account.
  2. Select the correct organisation and project. Check the project name before opening a capture or starting work.
  3. Install the OpenSpace construction app from the official app-store links. Sign in to the region supplied by your project administrator.
  4. If the project is missing, ask the project administrator or ACE to check the invitation email and membership. A successful sign-in alone does not grant access to every project.

Check: you can open the intended project and your role matches the work assigned to you. Organisation Administrator is a separate organisation-wide responsibility.

02 · Capturers and Administrators

A Good Capture Starts Before Recording

Agree who captures, which areas matter and how often the team needs a record. Plan an early baseline and repeat the important routes as the works progress, especially before services or finishes conceal them.

Project Readiness

  • The project and access permissions are ready.
  • Each sheet represents one floor or clearly defined capture area.
  • The floor plan is legible and the correct revision for the agreed workflow.
  • The team knows the coverage, capture schedule and naming method.

Equipment Readiness

  • The exact camera model is supported and activated where required. Current options include Insta360 X6, X5, X4, X3 and Ricoh THETA Z1; check the official model list before purchasing.
  • The camera and phone have enough charge, storage and current compatible software.
  • Both lenses are clean and the mount is secure.
  • The route is safe, accessible and adequately lit.

For new sheets, administrators use the project’s sheet settings. Prepare one floor per sheet. PDF and PNG are supported. For configured Procore or Autodesk projects, check whether Sheet Sync is managing drawing revisions. For manually managed sheets, coordinate revisions with the administrator and OpenSpace Support so existing captures remain connected. Do not delete the old sheet to force a revision.

Check: identify your starting location on the actual floor plan before you connect the camera.

03 · Capturers

Connect the Camera. Capture the Correct Floor.

  1. Open the correct project in the OpenSpace mobile app. Where a QuickCode is configured, scan it and confirm the project and sheet. Choose Start new 360° capture.
  2. Select 360° Video. Turn on the supported camera and follow the connection prompts. Keep the phone’s required Wi-Fi and Bluetooth permissions available.
  3. Give the capture a useful name when appropriate, such as the area and purpose.
  4. Select the sheet for the floor you are about to walk. Zoom in and pin your starting point near a recognisable doorway, corner or column.
  5. Choose Start capturing, check that recording has started and begin your planned route.
  6. Pause somewhere safe between levels. Use Next sheet to begin a new capture on that level. Do not record several floors against one sheet.
  7. Finish with End Session when the session is complete, then follow the upload flow.

A helmet mount enables hands-free capture when the site’s PPE rules allow it. A suitable handheld mount can help in other environments. Keep the camera stable and follow the mounting instructions for the actual model.

Coverage You Can Rely on Later

A route that reaches every relevant room gives the team useful evidence. A short walk along the main corridor can leave important work out of view.

Some Gaps RemainEnlarge
Some Gaps RemainMore rooms are reached, with parts of the floor still omitted.
A Useful Whole-Floor RecordEnlarge
A Useful Whole-Floor RecordThe route reaches the rooms and important interfaces.
1

Plan the Route

Identify the rooms, corridors, interfaces and concealed works that need a record. Follow a similar route on later visits to make comparisons easier.

2

Walk Steadily

Start with a relaxed pace of about 3–4 km/h on a clear, level route. Slow down further in dim light, near obstacles or where labels and connections matter. Pause for 1–3 seconds at a useful viewpoint and keep the camera steady.

3

Review the Gaps

After processing, check the route and inspect important areas. Capture a missed room or an unclear detail while access is still available.

Choose a Rhythm That Follows the Work

Daily When the Site Changes Quickly

Use a repeatable route through active work areas, high-turnover installations and important interfaces. Fit the capture into an agreed site walk.

Weekly for a Consistent Overview

Capture slower-moving areas on the same agreed day or milestone. Keep a comparable route so the team can review change over time.

Before Work Is Covered

Add a capture before a ceiling, wall or enclosure closes. Include services, connections and labels, then confirm the uploaded record is clear.

Slower gives the camera more opportunities. A slower pass provides more captured frames along the same distance and can improve the choice of clear viewing positions. Published navigation points depend on coverage and processing. Good lighting, stable mounting and clean lenses still matter.

For a bright, open outdoor route, discuss a securely mounted bicycle or vehicle workflow with ACE first. Confirm the route, camera setup and usable capture results. Walking remains the practical default for rooms, stairs, crowded areas and dim interiors.

Capture only where it is safe and permitted. One room may need a careful stationary 360° photo or a close-up Field Note in addition to the general walkthrough. A capture cannot reveal work that was never visible to the camera.

A · Finish the Current FloorA

Changing Floors

  1. At A, finish the current floor at a safe stopping point.
  2. Choose Next sheet and confirm a new capture.
  3. On the next floor, select its sheet and pin your actual start point at B.
  4. Begin recording again when safely positioned.

Keep stairs and transition areas within the project’s agreed capture plan.

Check: your coverage includes the agreed rooms and interfaces, with separate captures for each level.

05 · Capturers

Upload, Process, Then Verify

Choose one upload method for the capture. Keep the original camera files until the processed result is checked.

Mobile Upload

  1. After the final floor, choose End session and confirm Yes, I’m done.
  2. Choose Transfer from camera. Keep the camera and phone available until this transfer finishes.
  3. Choose Wi-Fi or enable cellular where appropriate, then select Done.
  4. Follow the prompt to switch off the camera after transfer. Let the phone finish uploading.
  5. Check the capture’s status, then open it after processing.

  1. Install the Singapore build, then open OpenSpace Sync.
  2. Use the three-dot menu to check for updates before connecting your camera.
  3. Turn on the camera and connect it with a USB data cable. Use its computer/file-transfer mode where required.
  4. Keep it connected while Sync sends the original files. Upload completion means the files have reached OpenSpace; processing continues separately.

Ricoh requires a USB 3.0 port. If an Insta360 is not recognised, check its model-specific USB mode and try another data port.

The three-dot menu provides the update check. Connection and upload status appear in the app.

Web Upload from a Computer

  1. Open sgp.openspace.ai and select the intended project.
  2. Open Captures, then its upload control.
  3. Choose the original capture files from the camera, a card reader or a local folder. Use the complete file set required by that model.
  4. Select Start Upload. Leave the upload window open and the camera/card connected until completion.
  5. When the files show Uploaded, choose Done.

OpenSpace’s web-upload instructions require the Desktop Sync app to be uninstalled first. Ask your device administrator before switching methods. Do not upload edited or stitched social-media exports.

Final check: open the processed capture in the Singapore project. Confirm the floor, date, coverage and image clarity before following the project’s retention procedure for originals.

Bring the Detail into View

From the 360° viewer, open Adjust image. Use Brightness, Shadows and Sharpen individually, or try Auto. Compare the result with the original before relying on it.

Where available, Enhance with AI provides another image-improvement option. Use Revert to original before returning to the manual adjustment controls after AI enhancement.

These tools can help you inspect a difficult view. If an important label, connection or finish remains unclear, arrange a closer photo or a new capture.

Check: the feature you are discussing is genuinely visible. Enhanced imagery alone is not proof of a concealed condition or a precise measurement.

09 · Project Teams

Discuss the Work in Its Actual Context

Open the same location and date before discussing an installation, interface or issue. Give the team a clear view of the condition and a clear next action.

Use the Record for Your Role

Project Managers

Compare the agreed dates. Review progress, overdue actions and interfaces between trades. Leave the meeting with an owner and next action.

RE/RTO Teams

Locate the work and capture date. Use the record to support site observations, concealed-work checks and follow-up. Verify critical details through the project’s inspection process.

Architects and Consultants

Review the visible site condition alongside the correct drawing or model version. Record the question and carry the formal decision into the agreed coordination workflow.

Your job title and your OpenSpace permission role are different. Creating Field Notes requires the appropriate Editor or administrator access.

A Practical Equipment Discussion

For a proposed camera, access point, door controller or cabinet, show the actual area. Check the mounting surface, sightline, access, cable route and service clearance together. Bring the selected model or datasheet into the discussion. Confirm critical dimensions and performance through the appropriate site checks.

Create a Field Note That Someone Can Act on

  1. Open the location, sheet and date. Add a second date or BIM comparison when useful.
  2. With suitable access, choose Field Note and place it at the relevant location. A note made from Split View includes both comparison images.
  3. Use a short, specific title. Record what you observed, what needs a decision and the location.
  4. Add the responsible person, due date, tags, status and attachments supported by your project. Review these details before saving.
  5. Share with authorised project members, review replies and update the action through the agreed workflow. Make a later capture when visual verification is needed.

  1. Define the record. Identify the boundary, areas, required detail, repeat dates and outputs. Supply the relevant site drawings and access information.
  2. Prepare consistent imagery. The operator plans suitable overlap, camera angles and repeatable capture conditions. Ground control and accuracy checks depend on the measurement requirement.
  3. Upload the appropriate data. Use the project’s Drones workflow and the supported image set. Confirm its capture date, location and processing status.
  4. Review the outputs. Use the orthomosaic for a broad site view, elevation layers for height context, and meshes or point clouds for suitable 3D review.
  5. Compare and coordinate. Align authorised plan overlays, compare available capture dates and record the items that need follow-up.
  6. Measure and export deliberately. Select the appropriate distance, area or volume tool and its reference surface. Confirm the coordinate and control assumptions before using measurements in decisions or downstream software.

For a progress discussion, compare access routes, laydown areas, excavation and completed external works across dates. Aerial imagery and a 360° indoor walk answer different site questions; use the relevant record for each.

Check: the imagery, dates, overlays and measurement basis suit the intended decision. Discuss any survey or tighter-tolerance requirement separately.

Helpful Answers

The Questions That Come Up on Site

Access and CaptureExpandCollapse
Why can I sign in but not see my project? ExpandCollapse

Check the invited email, region and organisation. Your administrator must add your account to that project; signing in does not create membership.

Which Desktop Sync app do I need? ExpandCollapse

Use the Singapore build for projects hosted at sgp.openspace.ai. The Singapore Desktop Sync steps and download are on this page.

How should project managers, RE/RTOs and architects use this guide? ExpandCollapse

Start with access and the basic viewer controls, then use the Project Teams chapter for progress reviews, site observations and design coordination. Capturers also need the camera, route and upload chapters. Follow the project’s inspection, instruction and approval procedures alongside the visual record.

Can a Viewer carry out a capture? ExpandCollapse

Capture work requires Editor, Site Admin or Organisation Admin permission. Ask the project administrator to assign the appropriate role.

Must every walk follow exactly the same route? ExpandCollapse

No. A planned, repeatable route helps maintain coverage and makes later comparisons easier. Cover the agreed areas safely.

Can I record several floors in one capture? ExpandCollapse

Use a separate capture and correct sheet for each floor. The app’s Next sheet flow lets you continue a session with a new capture.

How Fast and How Often Should We Capture?ExpandCollapse

Use a relaxed walking pace, with about 3–4 km/h as an ACE starting point on a clear, level route. Slow further in dim light or around important details and pause for 1–3 seconds where useful. Capture daily during fast-changing work, weekly for a steady overview and before services are covered. Agree the frequency with the project team.

Does Walking More Slowly Create More Viewing Points?ExpandCollapse

A slower pass records more frames over the same distance and gives the platform more opportunities to select clear views. The published navigation points still depend on capture coverage and processing. Improve lighting, keep the camera stable and add a close-up image when a small label matters.

Records, Sharing and MeasurementsExpandCollapse
When can I remove the camera files? ExpandCollapse

First verify that the intended capture is uploaded, processed and viewable with the required coverage. Follow your project’s retention procedure before removing originals.

Does a normal project link allow anyone to view the site? ExpandCollapse

A normal project or Field Note link requires the recipient’s appropriate account and access. Public-sharing options have different audiences and need separate approval.

Is a 360° capture the same as a measured laser scan? ExpandCollapse

No. Choose a suitable capture and measurement method for the required tolerance. Verify critical installation dimensions using the agreed checks.

Can ACE carry out capture work for us? ExpandCollapse

Yes. Discuss the site, areas, frequency, access and required outputs with ACE. Drone captures are managed with flight partners; specialist scanning needs separate assessment.
